Terms and Conditions

To enable the smooth planning and an enjoyable and safe time at your wedding, please carefully read through the following terms and conditions. The terms and conditions outline important information for your wedding at Deloraine Homestead

1. BOOKINGS

1.1. Bookings will be confirmed, via email, within seven days of:

• A deposit, as set out in paragraph 2, received into the nominated bank account.

• A completed booking form received.

1.2. We are happy to tentatively hold a wedding date for a period of 7 days. In the event the deposit is not made within 7 days, the venue reserves the right to cancel a tentative booking.

2. PAYMENT

2.1. A deposit of $1,000 is payable at the time of booking to guarantee the chosen wedding date.

2.2. This deposit is then used as a refundable bond. The bond will be refunded within 48 hours of the wedding if there is deemed to be no unreasonable or avoidable damage to the venue or its contents. In the event unreasonable or avoidable damage is made as a result of the wedding, the bond or a portion of will be held. We will talk to you before withholding any portion of the bond.

2.3. Final payment of $###### must be made no later than 30 days prior to your wedding date.

 

3. VENUE HIRE

3.1. Exclusive use of the venue is available from 9am on the day of the wedding. Set up time on the day prior to the wedding can be accommodated between 10am and 3pm, please speak with us.

3.2. To enable us to assist any external suppliers or people helping with set up, please provide an indication of who will be at the venue prior to the wedding.

3.3. Our bar will cease service at 11:00pm, with music to cease at 11:15pm. All guests, apart from those staying in the onsite accommodation will be expected to leave the venue by 11:30pm.

3.4. Our bar staff will be responsible for serving all beverages, that must be provided by the couple the day before the wedding. The service of cocktails will incur addition fees.

3.5. All items belonging to the bride and groom must be removed from the venue between 9am and 1pm on the day following the wedding. This includes cleaning up and packing up from your event.

3.6. Please ensure nothing is nailed or screwed in any way to any of our buildings or structures. If you would like to attach anything please talk to us first.

3.7. Strictly no camping at Deloraine Homestead.

 

4. WEDDING CANCELLATIONS

4.1. All cancellations must be made in writing.

4.2. The deposit is non-refundable.

4.3. For cancellations made more than six months prior to the wedding, a full refund will be made (the deposit amount will be deducted).

4.4. For cancellations made within six to one month prior to the wedding, 50% of venue cost will be charged (the deposit amount will be deducted).

4.5. For cancellations made within 30 days of the wedding - 100% of the venue cost will be charged (the deposit amount will be deducted).

 

5. ACCOMMODATION

5.1. Included in the venue hire cost is a two night stay for up to 4 couples at Deloraine Homestead the night before and the night of the wedding. The stay at Deloraine Homestead is subject to the normal terms and conditions as set out.

6. WEDDING PHOTOGRAPHY

6.1. We understand the value of capturing every moment and detail of your wedding day through photography - we feel the same watching the space at Deloraine Homestead transform through the unique touches of each wedding couple, and love to share this with others. We request use of up to 10 images (without individuals been identifiable), to be supplied by the wedding photographer for marketing and promotional purposes. Please contact us if you would like recommendations on local photographers.

 

7. EXPECTED CONDUCT

7.1. We are proud of our venue and expect all wedding guests and external suppliers to behave in an orderly and lawful manner. We reserve the right to request a person/s leave the venue if they act unlawfully or illegally or breach the expected conduct.

7.2. We enforce the principles of responsible serving of alcohol. Our staff reserve the right to refuse alcohol service to intoxicated persons and alcohol will not be served to persons under the age of 18 years. Bar service will cease at 11:00pm on the night of the wedding.

7.3. We are a non-smoking venue. Smoking must be restricted to the designated areas and at least 10 meters from reception space including dance floor. The Wedding couple is required to choose the space they wish to reserve for smoking and provide ash trays to be removed the following day.

7.4. Please, no glass on the dance floor.

7.5. Alcohol is not permitted to leave the premises on the day of the event. You can collect remaining alcohol at the allocated time the following day.

7.6. In the event any damage sustained to the venue exceeds the bond amount, the clients shall be held responsible and will be required to pay, in full, the total cost of damage sustained.

8. EXTERNAL SUPPLIERS AND VENDORS

8.1. External suppliers and vendors are permitted to begin setting up three hours prior to the wedding, unless pre-arranged.

8.2. All equipment and belongings of external suppliers and vendors must be removed from the venue between 9am and 1pm the day following the wedding.

8.3. External suppliers and vendors are expected to be self-sufficient, including in the provision of power (via a generator), hot water and preparation tables.

 

9. VALUABLE ITEMS

9.1. We encourage the wedding couple to arrange the removal of any valuables, including gifts /wishing wells on the day of the wedding. Deloraine Homestead takes no responsibility for any valuables left behind.

10. INSURANCES AND LIABILITY

10.1. Proof of relevant insurances for all external suppliers, including but not limited to, food vendors, photographers, florists, celebrant, caterers, musicians, is required to be supplied at least 14 days prior to the wedding. The venue is not responsible for any services or activities delivered by external service providers or vendors. Talk to us if you have any questions.

11. FIRE DANGER AND EXTREME WEATHER

11.1. Deloraine Homestead is located on a secluded 42 acre property in the beautiful town of Gladysdale. We are surrounded by pasture and on the perimeter of the property native messmate forest. During high fire danger periods no fires will be permitted, including in the fire pit. In the event of a fire danger rating of ‘code red’ or ‘extreme’, as classified by Victorian Emergency Services, conditions for a fire would make it unsafe to conduct a wedding at the venue. We closely monitor relevant weather conditions, particularly during high fire danger periods, and will contact you with as much notice as possible in the days or week preceding your wedding. In the event a wedding needs to be cancelled due to weather conditions, a full refund will be available and we will work with you to reschedule your wedding or find an alternate venue.
